What Apollo.io actually costs over a year
A monthly price is not the same thing as a monthly contract. These are the plans above resolved both ways, per seat or unit where the plan is charged that way. Where a vendor quotes only a yearly figure it is divided by twelve rather than left out, and the Quoted column says which figure the vendor actually publishes.
| Plan | Quoted | Monthly | Over 12 months |
|---|---|---|---|
| Basicper user | per month | $49 | $588 |
| Professionalper user | per month | $79 | $948 |
| Organizationper user, minimum 3 users | per month | $119 | $1,428 |

| HubSpot | $7 a month | Yes | −$42 a month (−86%) |

Which Apollo.io plan should you buy?
| Your situation | Recommended | Why |
|---|---|---|
| You are testing whether the data is good enough for your market | Free | Limited monthly credits, which is enough to sample data quality before paying. |
| You are a founder doing your own prospecting | Basic | $49 per user, and the cheapest credible route to a contact database plus sequencing. |
| You need A/B testing and call recording | Professional | $79 per user. Bought when outbound becomes a measured process rather than an experiment. |
| You have a team of three or more | Organization | $119 per user with a three-seat minimum, so budget $357 a month as the floor. |
| Your targeting is too specific for a generic database | Consider Clay instead | Waterfall enrichment across many providers finds what a single database cannot. |

What leaving Apollo.io would cost
moderate lock-in
Apollo.io scores on public API. Portability 5/10 ; lock-in is the inverse. How this is calculated.
Test the data in your own segment first
Aggregate accuracy claims are close to meaningless for prospecting tools, because coverage is uneven. The only useful test is your own: pull 50 contacts in the exact industry, company size and country you sell into, then verify them by hand. Coverage that looks excellent for US software companies can be thin for European manufacturing.
What “credits” mean here
Apollo meters email credits, mobile-number credits and export volume separately, and allowances differ by tier. Teams routinely buy a plan on seat price and then hit a credit ceiling mid-month. Work out your monthly contact volume before choosing a tier.
The compliance point, stated once
Apollo makes contact details available. It does not make contacting those people lawful. Under GDPR and similar regimes you need your own lawful basis, a genuine opt-out and accurate sender information. Volume-sending capability plus no compliance thinking is how domains end up burned.
Where it sits against HubSpot
HubSpot is a CRM platform that assumes you already have contacts. Apollo is a data source that also sends. Teams often use Apollo to find and open conversations, then push qualified contacts into HubSpot for the rest of the cycle.
