Multi-homing is the idea that matters
In most tools, work that concerns two teams gets copied into two places and the copies diverge within a fortnight. Asana lets one task appear in several projects while remaining a single object, so updating it anywhere updates it everywhere. That sounds minor and is the main reason Asana stays accurate longer than its rivals.
The free tier is two users now, not ten
Asana’s free plan is named Personal, and the page describes it as “Up to 2 users can collaborate for free.” That is a change from the ten-user free tier this profile previously recorded, and it moves Asana from one of the more generous free plans in productivity to one of the least: Trello allows ten collaborators, Plane twelve, and ClickUp does not cap members at all.
A team of three now pays. And above five users you cannot add people one at a time - the FAQ sets the increments at five up to 30 users, ten up to 100 and 25 up to 500 - so a six-person team buys ten seats.
Price the tier you actually need
Starter at $10.99 a user a month gives timeline, dashboards, rules and forms. Advanced at $24.99 a user a month adds portfolios, goals, workload and approvals. Almost every buyer who evaluates Asana is evaluating Advanced, because those are the capabilities that distinguish it from a cheaper board tool. Budget $24.99 per person and treat Starter as the fallback rather than the plan.
Monthly billing adds roughly 22%, so annual commitment is a meaningful saving if you are confident.
Where it is the wrong choice
Engineering teams should use Jira or a dedicated issue tracker; Asana lacks sprints, story points and the Git integrations that make delivery legible. Teams that need documentation living alongside the work are usually better served by Notion. And a five-person team with one workflow does not need this and will be happier on Trello.
The adoption risk
Asana is easy to start and easy to abandon, because nothing forces consistency. Projects created ad hoc, tasks without owners and three competing naming conventions produce the same graveyard as any other tool. The organisations that get value from it decide, up front, what a project is and who owns intake.
